This notice covers the public site and enquiry form. A signed engagement may add a further note about event records we read inside your portal. Those records belong to you; we process them as your processor for the duration of the review.
What we collect
From the contact form: name, email address, optional engagement of interest, optional company and portal description, and the message you write. From email or telephone: whatever you choose to send. From the site itself: technical logs our host may keep (IP address, browser, pages requested) for security and fault-finding. If you accept cookies, we may count page visits as described on the cookies page. If you reject, we still answer enquiries.
Do not send your clients’ personal data, identity documents, or password lists through the form. We will ask you to delete and resend a shorter note if you do.
Why we use it
We use enquiry data to reply, to judge whether a review is possible, to quote, and to keep a record of what was agreed. The legal basis under Malaysian personal data law is that the processing is necessary to take steps at your request toward a contract, and our legitimate interest in running a small practice and keeping the site secure.
Retention
Unsuccessful enquiries are kept for 18 months, then deleted from our mailbox and any sheet we use to track replies, unless the law requires a longer hold. Engagement files (brief, access plan, invoice) are kept for seven years for accounting and professional record. Host logs follow the host’s cycle, typically under 90 days.
Your rights
You may ask for access to the personal data we hold about you, a correction, or deletion where we have no remaining legal need to keep it. You may complain to the Department of Personal Data Protection in Malaysia. We will answer rights requests within a month of identifying you.
Sharing and transfers
We use an email provider and a web host to run this site. They see enquiry mail and technical logs as needed to provide those services. We do not sell lists. If a provider stores data outside Malaysia, we will choose one that offers a contract our advisers consider adequate for a small practice, and we will say so if you ask. We do not transfer enquiry data for advertising networks.
Children
The site is for people commissioning professional work. We do not knowingly collect data from children.
Changes
If this notice changes in a material way, we will update this page and the date below.
